Quantity/quality: Review meeting minutes and correspondence

Meeting minutes

Obtain RA’s, project engineer’s, BuildWell’s and any relevant sub-contractor’s site meeting minutes (which should record progress and any significant event or difficulties).

Do the minutes reveal any matters which are inconsistent with the quantity and quality records examined, or the test results.  E.g.

  • that the minutes record difficulties with quantity or quality which are not consistent with delivery records, work approvals, or payment applications
  • that the minutes record that quantities or quality are in accordance with the contract, but the test results on the completed road show that they are not.

Correspondence

Obtain RA’s, project engineer’s, BuildWell’s and relevant sub-contractor’s and supplier’s correspondence files relevant to the issues in question.  These could be electronic or hard copy, and could include letters, emails, electronic messages and file notes.

Do these reveal any matters which are inconsistent with other quantity and quality records examined, or the test results?  E.g.

  • that BuildWell has written to the sub-contractor or supplier complaining about incorrect quantity or quality
  • that an internal note from BuildWell’s site supervisor to BuildWell ‘s project manager refers to incorrect quantity or quality.
